PA to Head of Operations – The Role:
We have an exciting opportunity for a PA to join our Operations team.
In this key role, you will provide PA/secretarial support to the Head of Operations and management support to the department and Portfolio holder, acting as the first point of contact on the phone, managing correspondence and greeting visitors.
This is a varied and interesting role, and a great time for an experienced PA to join our Operations team as it embarks on a range of new projects. If you want to be part of a dynamic and innovative local authority, we would love to hear from you.
Agile/hybrid working is supported, subject to the requirements of the role.
PA to Head of Operations – Key Responsibilities:
- Provide secretarial/administrative support to the Head of Operations
- Manage incoming correspondence, e-mails and telephone calls to the Head of Operations, identifying priorities for immediate attention and taking appropriate action. Re-direct issues to other members of staff, as appropriate
- Receive visitors for the Head of Operations and be the first point of contact on the telephone, filtering calls, taking messages and passing on information as appropriate
- Provide support/assistance to the Portfolio holder and deputy in respect of issues relevant to Operations
- Respond to correspondence, e-mails and telephone calls in a timely manner, observing target deadlines for replies to Members of Parliament
- Organise meetings, workshops and other events (and associated logistics) as required by the Head of Operations
- Attend and contribute to Operations’ Senior Management Team Meetings
- Take minutes at meetings, where required, and ensure the timely despatch of agendas and other relevant paperwork
PA to Head of Operations – You:
- Previous experience supporting a senior management role, ideally with significant experience as a senior PA
- Experience of complex diary management
- Sound experience of building and maintaining effective working relationships, both internally and externally
- Well-developed IT skills including practical experience of using MS Office software packages - Word, Excel, PowerPoint and Outlook
- Excellent written and spoken communication
